Job Description

Site Supervisor
Employment Type: Full-Time
Location: East London

Purpose of the Job:
As a Site Supervisor, you will be the on-site representative of Value Logistics, responsible for ensuring the efficient management of costs, the fleet, and operational processes to deliver exceptional service to the customer. Your role will involve overseeing the performance of both the workforce and the fleet, maintaining strong customer relations, and ensuring that all site operations run smoothly and in compliance with company standards.

Key Responsibilities:

Operational Duties:

  • Supervision of Staff:
    Ensure that all staff on-site are functioning optimally by monitoring attendance registers and managing absenteeism. Coordinate any staff requirements with the Labour Broker and the Key Account Manager to maintain productivity levels.
  • Staff Attendance Management:
    Ensure that all site staff hours are correctly captured on Wage Keep, making sure that all timekeeping and payroll processes are handled efficiently and in accordance with the company’s policies.
  • Fuel Management:
    Oversee fuel-related operations, including the control of fuel bowsers, refuelling processes, and the monitoring of fuel consumption. Manage and reconcile fuel usage, ensuring the use of EDC/Ned Fleet Cards is accurately recorded.
  • Fleet Condition Management:
    Regularly inspect the fleet to ensure that vehicles meet the required standards as outlined in the SEC Manual. Keep the fleet in optimal working condition to reduce breakdowns and delays.
  • Vehicle Route Planning:
    Coordinate the daily route planning for vehicles, ensuring efficient loading and offloading. Oversee the proper handover of customer documentation and the timely dispatch of drivers.
  • Claims and Breakdown Procedures:
    Supervise the correct adherence to processes related to accident claims, product claims, and vehicle breakdowns. Make sure that all necessary documentation is submitted, and issues are resolved promptly.
  • Driver and Customer Training:
    Provide training for on-site drivers and staff regarding company processes and customer-specific procedures. Ensure that all team members are fully informed and compliant with Value Logistics’ standards.
  • Daily Handover:
    In cases where you are absent, make sure that a responsible party, such as the Nightshift Supervisor, is briefed and prepared to manage daily operations.
  • Pre and Post-Trip Vehicle Inspections:
    Coordinate and supervise vehicle inspections, logbook completion, workshop bookings, and vehicle transfers. Ensure all required checks are carried out on time and that any defects are reported.
  • Ad-hoc Vehicle Management:
    Manage the requirements for additional vehicles as needed, ensuring that all aspects of vehicle availability, maintenance, and performance are covered.
  • Driver Documentation Control:
    Regularly check that driver documentation, including PDPs, licenses, and endorsements, is valid and up-to-date. Make sure that all necessary renewals or updates are carried out well before the expiration.
  • PPE and Uniforms Management:
    Oversee the distribution and use of PPE (Personal Protective Equipment) and uniforms. Ensure all site staff have the necessary safety gear to carry out their duties in line with company regulations.
  • Operator Licenses for Equipment:
    Maintain an up-to-date record of operator licenses for machinery and equipment used on-site. Ensure that all employees are certified to operate the equipment they handle.
  • Vehicle Tracking:
    Ensure vehicle tracking systems are operational on all fleet vehicles. Any faulty units should be booked into the workshop for repair as soon as possible.
  • Housekeeping:
    Maintain high standards of cleanliness and organization in the workplace. Ensure that all vehicles and areas of the site are kept clean and orderly.
  • Trackmatic System:
    Dispatch deliveries using the Trackmatic system, monitoring and managing driver route adherence for optimal delivery efficiency.
  • Management of Abnormal Fleet:
    Handle the daily management of abnormal vehicle fleets and loads, ensuring adherence to company guidelines and road safety standards.

Administrative Duties:

  • Report Compilation:
    Prepare and complete various operational reports, including the Daily Log, Utilisation Report, Absenteeism Report, Vehicles in Workshop Report, Fleet Checklist, Weekly Site Report, and Fuel Consumption Report.
  • Embrace Usage:
    Capture data and manage the system usage for operational efficiency.
  • Billing Preparation:
    Prepare and submit billing schedules to ensure accurate and timely invoicing for services rendered.
  • Petty Cash Management:
    Coordinate the issuance and reconciliation of petty cash for site-related expenses, ensuring that all documentation and claims are processed accurately.
  • Customer Documentation Supervision:
    Oversee the handover and sign-off of all customer-related documentation, ensuring all processes are followed and records are properly maintained.
  • Monthly Contracts and Billing Supervision:
    Supervise the completion of monthly contracts and ensure that all billing is accurate, processed on time, and aligned with customer agreements.

Customer Service Duties:

  • Customer Relationship Management:
    Foster and maintain strong relationships with customers, ensuring that service levels meet or exceed their expectations. Deliver on company promises and maintain customer satisfaction at all times.
  • Monitoring KPIs:
    Supervise and monitor all customer-specific KPIs (Key Performance Indicators) and service levels to ensure targets are met consistently. Address any performance issues swiftly to maintain a high standard of service.
  • Operational Feedback:
    Provide customers with feedback regarding any operational challenges or constraints and work with them to resolve issues effectively.

Minimum Requirements:

  • Education:
    A Grade 12 (Matric) certificate is required for this role.
  • Computer Literacy:
    Full proficiency in MS Word, Excel, and Outlook is essential for managing administrative and operational tasks effectively.
  • Experience:
    You should have 3–4 years of relevant experience in the logistics, transport, or related industries. Strong familiarity with fleet management, driver coordination, and site supervision is highly beneficial.
  • Interpersonal Skills:
    Excellent communication and interpersonal skills are crucial in this role. You’ll be liaising with both internal staff and external customers, requiring the ability to convey information clearly and professionally.
