Position Overview

The Driver/Messenger is responsible for safely transporting people, documents, and goods while adhering to road safety regulations and organisational policies. The role requires excellent time management, adherence to delivery schedules, and accurate reporting of vehicle maintenance and operational issues.

Key Responsibilities

1. Messenger Services

  • Collect and verify correspondence from government institutions, ensuring items match the delivery list.
  • Deliver packages and messages on time, handling them with care.
  • Maintain communication with departure and destination points.
  • Obtain receipts or signatures for deliveries and log daily visits in the logbook.
  • Plan and follow efficient delivery routes, ensuring maximum efficiency.
  • Confirm deliveries upon return and distribute documents to appropriate departments.

2. Administrative Tasks

  • Monitor the execution of requests for copying, binding, and delivery services.
  • Ensure archiving and sorting of documents in line with the National Archives Act and RAF Records Management strategies.
  • Maintain records of documents sent to off-site storage and updates to the inventory system.
  • Ensure timely and efficient postal services and document binding operations.

3. Transportation Duties

  • Transport goods, materials, and staff safely and securely to designated areas.
  • Load and unload merchandise efficiently.
  • Report mechanical or electrical faults to the Facilities Manager promptly.

4. Vehicle Maintenance and Reporting

  • Perform daily pre-trip and post-trip inspections to ensure vehicles are roadworthy.
  • Report vehicle defects, accidents, or traffic violations.
  • Maintain vehicle logbooks in compliance with the Fleet Management Policy.

5. Mail Processing

  • Receive, register, and stamp incoming and outgoing mail.
  • Sort documents by destination and prepare outgoing mail for posting.
  • Record details of registered mail and track outgoing packages.
  • Ensure accurate documentation of financial transactions for registered mail services.

Qualifications and Experience

Education

  • Matric/Grade 12 Certificate.

Licensing

  • Valid Code 10 (EC1/EC) driver’s license.
  • Current Professional Driver’s Permit (PrDP).

Experience

  • At least 1 year of experience in a driving or messenger services role.

Technical and Behavioural Competencies

  • Strong planning, organisation, and coordination skills.
  • Ability to assess vehicle roadworthiness for safe transportation.
  • Knowledge of principles and methods for transporting goods and people.
  • Excellent communication and client service orientation.
  • High ethical standards, emotional wisdom, and sound decision-making abilities.
  • Attention to detail and ability to follow established policies and procedures.
