Introduction

InterCape, a leading name in the transportation industry, is seeking a highly skilled and experienced Fleet Controller to join their Pretoria operations. The ideal candidate will have a strong background in an operational environment, with the ability to manage and maintain fleet operations efficiently. This role is crucial in ensuring that InterCape’s fleet runs smoothly, meets safety standards, and provides top-notch service to its customers.

Key Responsibilities

As a Fleet Controller at InterCape, your role will encompass a wide range of duties, ensuring that both staff performance and fleet operations are maintained to the highest standards. Below is a breakdown of the key responsibilities:

1. Staff Performance Supervision:

  • Monitor and supervise staff performance, ensuring productive working relationships and mutual respect.
  • Address work-related matters promptly, maintaining open communication channels.
  • Ensure compliance with company policies and procedures, and address any non-compliance issues immediately.
  • Conduct performance assessments in line with disciplinary actions, keeping management informed of activities, progress, and results.

2. Trip Requirements:

  • Ensure that all drivers are equipped with necessary accessories before departing on trips, including valid licenses, PDPs, cell phones, hands-free kits, and necessary documentation for cross-border travel.
  • Verify that drivers have the Coach Blue Bag containing essential documents like the Coach Fault Book, LG number, route permits, charging cables, and other required accessories.

3. Neatness of Pro-Drivers Departing/Arriving:

  • Ensure that drivers maintain a professional appearance, including neat hair, clean uniforms, and polished shoes.
  • Enforce company policies regarding dress code, including restrictions on jewelry, tattoos, and visible t-shirts under uniforms.

4. Fleet Operations Maintenance:

  • Optimize staff utilization and maintain the productivity of individual coaches.
  • Monitor and ensure that coach operations adhere to planned schedules, operational policies, and revenue management standards.
  • Oversee the cleanliness of coaches, adherence to service schedules, and maintenance of aesthetic standards.
  • Handle accident investigations, risk management evaluations, and address complaints promptly.

5. Daily Briefing and De-Briefing:

  • Conduct pre-trip inspections, ensuring that drivers complete all required checklists and that vehicles are in proper working order before departure.
  • Verify that all necessary permits, insurance documents, and accessories are present and valid in the Coach Blue Bag.
  • Review and file briefing and de-briefing forms, ensuring that all documentation is forwarded to the receiving depot.

6. Fleet Operations Monitoring and Control:

  • Establish the status of the daily coach plan and make necessary adjustments in response to unplanned events.
  • Collect and analyze information related to coach movements, issuing required authorities and instructions for pro drivers and support staff.
  • Maintain communication with internal and external customers, ensuring that coach running is optimized to minimize delays.

7. Standard Operating Procedures (SOPs):

  • Log bus late departures and maintain accurate records on the SOPS system and departure board.
  • Coordinate with the Fleet Scheduling Team to ensure that all coaches are repaired and ready for operations.
  • Ensure the validity of cross-border permits and public road permits, as well as the renewal of insurance policies.

8. Breakdown and Technical Support:

  • Provide technical advice to drivers in a professional manner, ensuring accurate communication of technical information.
  • Identify technical errors and confirm solutions with the Technical Department, guiding drivers through troubleshooting processes.
  • Maintain communication with operations and offices to ensure accurate information is relayed to customers during breakdowns.

9. Customer Service:

  • Address customer inquiries efficiently and courteously, logging complaints on the CCC system and ensuring resolution within 14 days.
  • Record and report customer inquiries and associated actions, providing feedback to managers and customers.
  • Thoroughly complete accident and incident reports, including photos and witness statements, and forward them to the Claims Department.

10. Non-Revenue Vehicles/Airport Transfers and Transfers:

  • Manage airport transfers and ensure that non-revenue vehicles are properly utilized, logged, and maintained.
  • Complete and file non-revenue vehicle checklists, ensuring that all tools and accessories are accounted for.

11. Effective Utilization of Systems:

  • Stay updated on enhancements and changes to InterCape systems, ensuring proficiency in Microsoft packages and other relevant software.
  • Accurately capture operational data on dashboards and widgets, flagging departure boards for ready line and departure times.

Desired Experience & Qualifications

  • Qualifications:
    • Grade 12 certificate.
    • Valid Code 14 Driver’s License; a Professional Driving Permit (PrDP) will be an added advantage.
  • Experience:
    • 3–5 years of operational experience, preferably in a similar role.
  • Knowledge/Abilities:
    • Strong knowledge of the company’s divisions, products, services, and operations.
    • Experience in general administrative duties, with a focus on providing high-quality work.
    • Ability to work under pressure, manage deadlines, and demonstrate excellent organizational skills.
  • Skills:
    • Proficient in Microsoft Office and other relevant software.
    • Strong communication skills and the ability to work both independently and as part of a team.
