1. Daily Route Planning and Vehicle Scheduling

As a Fleet Controller, you will be responsible for the day-to-day planning of the milk collection routes. This includes scheduling both drivers and trucks for daily operations, ensuring that routes are optimized for efficiency and that vehicles are used to their full potential.

2. Fleet Maintenance and Repairs

One of your key responsibilities will be controlling vehicle fleet repair and tyre costs. You will also be tasked with managing fleet maintenance suppliers, ensuring they are compliant with the company’s service standards. Scheduling vehicles for regular maintenance and inspections is a critical component of this role to avoid breakdowns and downtime.

3. Monitoring Milk Collection and Balancing Daily Intake

Since the company deals with the transportation of milk, you will oversee sorting milk receipts and balancing the daily milk intake. Ensuring accurate records and balancing the incoming and outgoing milk deliveries are essential duties.

4. Transport Orders and Tickets

The Fleet Controller is responsible for creating transport orders on BPCS (Business Planning and Control System) and receiving tickets. Attention to detail is vital to ensure that these orders and tickets are accurate and processed promptly.

5. Problem Solving and Driver Management

The Fleet Controller plays a vital role in problem-solving. You will need to address and resolve any issues that arise with producers and drivers, ensuring that deliveries stay on track and disputes are settled professionally. In the absence of the Fleet Coordinator, you will also be expected to manage the drivers.

6. Time and Attendance Management

Part of your administrative duties includes managing time and attendance sheets using the KRONOS system. Ensuring that the drivers’ working hours are accurately recorded and compliant with company policy is crucial.

7. Vehicle Inspections

In the absence of the Fleet Coordinator, the Fleet Controller will inspect vehicles to ensure they are roadworthy and meet company safety standards. This involves checking for any potential mechanical issues or safety hazards that could disrupt operations.

8. Month-End Reporting

At the end of every month, you will be responsible for generating various reports requested by Head Office. This includes reports on fleet performance, vehicle usage, and other key operational metrics that help in tracking the efficiency of the fleet.

9. Insurance Claims and Traffic Fines

Handling insurance claims for any accidents or incidents involving the fleet is another important duty. You will also manage any traffic fines incurred by drivers and ensure that they are addressed promptly and correctly.

10. Driver Management

You will be responsible for managing driver PRDPs (Professional Driving Permits), as well as handling drivers’ subsistence allowances. You will also monitor Drive-cam footage for faults and coach drivers on how to improve their driving techniques.

11. Continuous Improvement and Route Optimization

As part of the company’s commitment to continuous improvement, you will be involved in optimizing milk collection routes to increase efficiency. This will include analyzing current routes, identifying bottlenecks, and proposing more effective alternatives.

12. Administrative Duties

In addition to managing the fleet, you will also handle various administrative tasks related to the Milk system, OPSI, BPCS, R2MS, and Fleet Professional. These systems are crucial for ensuring that all fleet data is recorded accurately and that the fleet operates smoothly.


Required Skills and Experience:

To be successful in this role, applicants must meet the following requirements:

Educational Qualifications:

  • Matric (Grade 12): A high school certificate is required for this role.

Experience:

  • At least 2 years of experience in a similar position: Previous experience working as a Fleet Controller or in a similar role is essential. Experience in managing dairy transportation or other food-related logistics will be advantageous.

Skills and Competencies:

  • Good Communication Skills: You must be able to communicate clearly and effectively with both drivers and producers, as well as other members of the fleet management team.
  • Interpersonal Skills: Building strong working relationships with drivers and suppliers is crucial. This includes being able to resolve conflicts and manage expectations effectively.
  • Attention to Detail and Accuracy: Ensuring that all daily functions, including data entry, route planning, and vehicle inspections, are carried out with a high level of diligence and accuracy.
  • Computer Literacy: Since you will be working with fleet management software, data entry, and reporting systems such as BPCS, it is essential to be proficient in using a computer.
  • Medically Fit: The role requires that you are medically fit in accordance with Occupational Health and Safety regulations. The job may require inspecting vehicles or assisting drivers in different environments.
