Position Overview

Are you an organised and proactive professional with a knack for managing logistics? An exciting opportunity awaits you as a Fleet Controller with our Chemicals Division at Tulisa Park, Alberton. As a Fleet Controller, you will play a critical role in overseeing the daily operations of our fleet, ensuring smooth and efficient coordination between our drivers, customers, and operational staff. This position involves a blend of administrative tasks, real-time fleet monitoring, and customer interaction, making it ideal for a detail-oriented individual who thrives in a dynamic environment.

Your ability to multitask, problem-solve, and stay calm under pressure will be essential to your success in this role. By keeping our fleet on schedule and ensuring top-notch service, you’ll be contributing to the seamless transport of our chemical products, helping us uphold our commitment to reliability and customer satisfaction.

Key Responsibilities

In this role, you will be expected to handle a variety of tasks aimed at keeping our fleet operations running smoothly:

  1. Administrative Support and Data Management
    • Accurately capture and manage essential data, including driver logs, fleet utilisation, and breakdown records, to ensure that our operations team has up-to-date and reliable information.
    • Maintain comprehensive and organised records of all fleet activities, making it easy to retrieve information for reporting and audits.
    • Prepare daily, weekly, and monthly reports on fleet performance, identifying trends or issues that may need attention.
  2. Driver Supervision and Coordination
    • Actively monitor and manage driver activities, ensuring they are following their schedules and adhering to all safety and operational protocols.
    • Communicate with drivers throughout their shifts, providing guidance and support for any issues they encounter on the road.
    • Conduct routine checks to ensure drivers are compliant with company policies and road regulations, including vehicle checks and route adherence.
    • Offer support for drivers facing on-the-road challenges, such as breakdowns or traffic delays, and coordinate swift solutions.
  3. Fleet Monitoring and Utilisation Tracking
    • Track all vehicles in real-time, keeping tabs on their progress, fuel consumption, and efficiency.
    • Monitor fleet utilisation to optimise our vehicle resources, minimising downtime and maximising operational efficiency.
    • Ensure trucks are dispatched on time and keep track of their locations, routes, and schedules to ensure timely deliveries.
    • Use GPS and tracking software to ensure vehicles are on course and address any deviations promptly.
  4. Customer Service and Issue Resolution
    • Serve as the main point of contact for customer inquiries, providing timely updates on the status of their orders.
    • Address customer complaints or issues related to deliveries, offering prompt and effective solutions to maintain strong relationships.
    • Act as a liaison between the customer and the factory, ensuring clear communication and resolving any logistical challenges.
    • Respond to urgent customer requests for additional orders or special delivery requirements, coordinating with relevant teams to meet these needs.
  5. Problem Solving and Breakdown Management
    • Handle the logistics of breakdowns by coordinating repair services and arranging alternative transport when necessary.
    • Capture all breakdowns and maintenance issues in a central database, allowing for better planning and preventive maintenance.
    • Proactively identify any potential issues before they escalate, and take steps to mitigate risks to fleet operations.
    • Work closely with the maintenance team to ensure all vehicles are kept in optimal condition and available for use as scheduled.
  6. Shift Work and Flexibility
    • Be prepared to work shifts as required to ensure full coverage for fleet operations, including early mornings, evenings, and weekends.
    • Demonstrate flexibility to adjust your schedule based on the needs of the business, including responding to last-minute changes or urgent situations.
    • Ensure a smooth handover to other shift controllers, maintaining clear communication to keep everyone informed of ongoing or pending issues.

Minimum Qualifications and Skills

To qualify for this role, you should meet the following minimum requirements:

  • Educational Background: Matric (Grade 12) is mandatory. A higher certificate or relevant qualification in logistics or administration will be an added advantage.
  • Experience: Previous administrative experience in a logistics or fleet environment is required. Experience in fleet management, transportation, or dispatching will be beneficial.
  • Computer Skills: Must be proficient with computer applications, particularly MS Office (Excel, Word, and Outlook). Familiarity with fleet tracking software is advantageous.
  • Data Management: Skilled in data capturing, with a strong attention to detail to ensure accuracy and reliability.
