Purpose of Role:

Rubicon Group is seeking a motivated and detail-oriented Warehouse Assistant/Driver to join our growing team. The role is integral to the efficiency and success of our warehouse operations. You will be responsible for ensuring the seamless flow of goods within the warehouse, from their arrival to their dispatch, while maintaining accuracy, organization, and a strong commitment to safety.

Key Responsibilities:

1. Receiving of Goods:

  • Identify the Source: Confirm whether the incoming shipment is from a branch, customer, or supplier. Categorize stock orders into types such as Customer Return, Inter-Company Transfer Order, Local Order, or International Order, and ascertain the final destination of the stock (Richmond Park or another branch/location).
  • Physical Storage: Place receipted stock in its respective location within the warehouse (such as Lighting, Energy, Utilities, Residential, Platform, SUS, etc.).
  • Reporting Discrepancies: Immediately report damaged, short-supplied, or over-supplied stock to your supervisor and the Procurement team if received from a supplier. Record discrepancies in respective reports and submit to the Receiving Supervisor daily.
  • Follow-up: Ensure all discrepancies are cleared within five days by coordinating with procurement or the sending branch.

2. Stock Storage & Maintenance:

  • Organization: Arrange all stock efficiently in the warehouse to prevent damage during storage and transport. Ensure packaging adheres to company policies and promotes good Health & Safety (H&S) practices.
  • Loading & Unloading: Secure the loading and unloading of products to prevent damage during transport. Ensure the integrity of goods throughout the handling process.

3. Order Fulfilment:

  • Remove Damaged Goods: Isolate damaged stock from shelves and alert stock control to initiate the proper procedures as per the company’s Standard Operating Procedures (SOP).
  • Prepare Orders: Identify where the shipment is going (branch, customer, or supplier), and package stock for local or international delivery. Coordinate daily activities to meet delivery commitments and collaborate with other departments.
  • Stock Labelling: Ensure all loose items are properly labelled following the company’s SOP.

4. Dispatch & Delivery:

  • Efficient Delivery Coordination: Ensure deliveries are made in a timely and cost-effective manner, aligned with the company’s objectives.
  • Delivery Notes: Ensure that all delivery notes are authorized and follow up on discrepancies.
  • Daily POD Management: Scan Proof of Delivery (POD) documents from the previous day into the system before the close of business (COB).
  • Verify Delivery Details: Double-check the delivery address and contact details before dispatch, and consult the originating salesperson if corrections are needed.
  • Dispatch Coordination: Work with the dispatch controller to ensure the right equipment is available and that delivery expectations are met.

5. Documentation & Compliance:

  • Accurate Record-Keeping: When processing orders, ensure that quantities and qualities of units picked match the request. If discrepancies occur, seek assistance from the stock controller. All documentation must be signed by both the person handing over and the person receiving the stock.
  • Document Storage: Store all documentation per company SOP to ensure compliance and ease of future reference.

6. Health & Safety Compliance:

  • Safety Protocols: Implement and enforce all health and safety policies, including the secure loading and unloading of goods. Ensure warehouse and transportation activities are performed safely.
  • Safety Audits: Conduct regular safety inspections and audits to mitigate risks and hazards.
  • Employee Training: Organize training for warehouse staff on best safety practices, including valid licenses for forklifts, reach trucks, drivers, and first aiders.
  • Vehicle Inspections: Perform pre-trip and post-trip inspections to ensure company vehicles are roadworthy and compliant with traffic laws.
  • Safe Driving: Operate company vehicles in a responsible manner, adhering to all traffic regulations.

Minimum Requirements:

  • Education: Matric/NQF 4 level qualification or equivalent.
  • Experience: Minimum of 2 years in warehouse operations and deliveries. Additional experience in fleet and contract management is advantageous.
  • Licenses: Valid Code EC driver’s license and a valid PrDP.
  • Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook) and strong organizational abilities.
  • Personal Attributes: Detail-oriented, reliable, and trustworthy with excellent communication skills.
